AETHLOS can accommodate changes to the enrolment until Monday 1st July 2025. Following this date, we reserve the right to charge an administration fee of £50 each time you request a change or postponement to the Programme or centre after AETHLOS has confirmed the initial Booking. This may also include any request by you for changes whilst you are on a Programme.

Without affecting any other right or remedy available to it, AETHLOS may terminate the Booking and these Terms with immediate effect and/or refuse your attendance on a Programme by giving written notice to you if you:

9. Arrival and departure Times

You should arrive between 8.00am and 8.15am on each day of the camp stated in your Booking. You should depart following the end of the scheduled activities for each day but not later than 16:30pm. If you are not able to arrive or depart within the stated times, please contact AETHLOS immediately.

10. Attendance and Absences

Full attendance is required and any absence from a Programme shall not be compensated. AETHLOS adheres fully to UK Government guidance and will implement all required advice to maintain the safety and security of staff and players at the University of Bolton premises. No refunds of any fees are applicable to you if restrictions imposed by the Government guidance impacts your attendance to the Programme.

11. Conduct and behaviour

AETHLOS has a zero-tolerance policy for discrimination, bullying, and harassment. You acknowledge the need for proper conduct all players on a Programme. AETHLOS reserves the right to suspend or dismiss you from a Programme for unacceptable, disruptive, unsatisfactory, or unlawful behaviour, or lack of attendance. In this scenario, AETHLOS’s decision is final, no refund will be given, and any unpaid fees become immediately payable.

12. Photography & filming

You agree that photographs, videos, artwork, or other works, as well as recorded or written testimonials, may be used, stored, or transferred internationally by AETHLOS, or by a third-party agent, for promotional purposes including printed and online marketing materials and on any social media network without further consent or notification, in accordance with clause 29.

Please advise AETHLOS if you do not wish to appear in any promotional material, by emailing us at info@aethlos-sport.com before your arrival for the Programme. Please also remind a member of AETHLOS on the arrival day.

13. Health & safety and Safeguarding

AETHLOS operates rigorous health & safety and safeguarding policies. Copies are available on request. Staff undergo a period of training and orientation before your arrival on the Programme. All relevant coach-to-player ratios are adhered to as set out by the NSPCC Child Protection in Sport Unit.

14. Medical

In accepting these Terms, you acknowledge that the nature of sport and of the Programme could pose a risk of injury. You also acknowledge that your physical and mental health is adequate to safely complete the Programme and you have no underlying health conditions that would prevent this. AETHLOS does not carry out any physical or mental checks on players before the Programme, so any attendance on the Programme is done at your own risk. Please see your insurance obligations in clause 22.

AETHLOS reserves the right to terminate your enrolment on a Programme if your participation represents a risk to you, other players or AETHLOS staff members or contractors health and safety, or if, notwithstanding reasonable accommodations, in the opinion of AETHLOS, your physical or mental condition makes you unable to successfully complete a Programme.

The centre where the Programme will run will have a fully qualified first aider and safeguarding officer on site. In addition, the centre has completed risk assessments and protocols to ensure the safety and welfare of all players, staff, and guests/volunteers. Local accident & emergency facilities are also available.

You must disclose any mental or physical illness, allergy, disability, or condition that may:

15. Airport Transfers

Our airport transfer service must be booked at least four weeks before the start of the camp and is only available to participants attending the University of Bolton camp on the dates specified: Arrival on 28 July and Departure on 3 August. The service includes transport to and from Manchester airport and transport to and from Bolton/Manchester train stations and is free of charge.

You are responsible for arranging and paying for the Participant's flights, including any airline charges for an Unaccompanied Minor service if you book one. You must email us with the Participant's flight details, including details of any Unaccompanied Minor service booked with the airline, at least four weeks before the start of the Camp. Proof of email dispatch is not proof of receipt. If you do not receive a response from us within 3 days, you should contact us by telephone.

You are responsible for complying with all airline regulations. We are not obliged to provide a refund or any other assistance if a participant is unable to board a flight, be cleared by the UK Border Agency or attend the Camp as a result of your failure to comply with any such requirement. You will be responsible for, and will reimburse us for, any additional reasonable costs incurred by us as a result of your failure to comply with any such requirement (for example, if a Participant loses travel documents or an airline refuses to allow an unaccompanied minor to board a flight).

If you change flight details after an airport transfer has been booked and confirmed by us, you must immediately email us with the changed details and also telephone our office to confirm these instructions.

You will be responsible for, and will reimburse us for, any additional reasonable costs incurred by us as a result of you providing us with inaccurate or incomplete flight information (for example, if we incur additional airport transfer costs because a Participant arrives on a different flight to the one that was booked, or if you fail to inform us that a Participant is travelling as an unaccompanied minor).

If you book a flight for a date or time outside of our specified dates (arrival: 27th July, departure: 1st August) and times as published on the University of Bolton Camp website, please note that, if we are able to arrange this, there may be a surcharge of up to £100 in addition to the airport transfer fee.

16. Food

AETHLOS endeavours to provide players with tasty, nutritious meals (breakfast and lunch). All dietary requirements are also catered for at the Programme centre, please advise AETHLOS of any requirements at the time of booking.

17. Damage to buildings or property

You acknowledge that you must pay the full cost of any damage wilfully caused by you to any grounds, accommodation, or property.

18. Insurance

It is your responsibility to source travel, accident & health insurance cover for your trip, to include any activities on the Programme.

As outlined in clause 19, we accept players on the Programme on the assumption that they are of good health. It is your responsibility to have insurance to cover such events as loss of personal belongings, loss of travel tickets and medical expenses, personal liability, and personal accident. If you do not have an adequate insurance policy and an incident occurs, you will be responsible for all costs incurred.

In accordance with clause 23, AETHLOS does not accept responsibility for personal injury unless it is due to the negligence of AETHLOS or its contractors.

19. Liability

Subject to clause 23c, AETHLOS’s total liability to you under or arising from these Terms shall not exceed 125% of the total Booking fees payable by you for the relevant Programme for any one event or series of connected events. AETHLOS and its contractors and representatives will not be liable to you for any indirect or consequential loss. We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees or agents for fraud or fraudulent misrepresentation. All coaching activities are covered by the AETHLOS’s Insurance Policy which carries both public and employers liability insurance to the value of £10M for all of our programs.

20. Visa Support Letters

At your request, we can provide a visa support letter to assist the participant in obtaining a visa to enter the UK to attend the camp. However, please note that you remain solely responsible for ensuring that the Participant is granted a visa to enter the United Kingdom. For the avoidance of doubt, we do not guarantee that our visa support letter will result in the Participant being granted a visa and we accept no liability if the Participant's visa application is refused or you are otherwise unable to obtain a visa.

For the avoidance of doubt, we will not be liable for any further costs other than in accordance with our cancellation and refund policy set out in clause 7 of these Terms and Conditions.

21. Complaints

If you have any complaints, you should immediately notify a member of AETHLOS’s staff. In the unlikely event this is not resolved to your satisfaction; you can either email AETHLOS at: info@aethlos-sport.com or write in English to AETHLOS’s head office: 414-416 Blackpool Road, Ashton, Preston, PR2 2DX, United Kingdom. AETHLOS will investigate your complaint and will provide an appropriate response. In order to be given a reasonable chance of addressing your complaint, please ensure it is received within one month of the end of your Programme.

22. Force Majeure

We shall not be in breach of these Terms nor liable for delay in performing, or failure to perform, any of our obligations under these Terms if such delay or failure result from events, circumstances, or causes beyond our reasonable control. In such circumstances, we shall be entitled to a reasonable extension of the time for performing such obligations. If the period of delay or non-performance continues for 6 months, you may terminate this agreement by giving us 28 days' written notice and shall be entitled to a refund of any amount paid for services which have not been received.

23. Assignment and subcontracting

We may transfer our rights and obligations under these Terms to another organisation. You may not transfer your rights or your obligations under these Terms. AETHLOS reserves the right to subcontract various elements of our services under these Terms to reputable companies selected by AETHLOS.

24. Entire Agreement

These Terms and any Booking terms shall constitute the entire agreement between you and AETHLOS and supersede and extinguish all previous agreements, promises, assurances, warranties, representations, and understandings between you and us, whether written or oral, relating to their subject matter.

25. Email Contact

By agreeing to these Terms and the Booking conditions, you consent to AETHLOS and any of our partner companies using your email address(es) gained at the time of Booking, and during the Programme, where lawfully allowed, to make contact with you in relation to Programme related services.

26. Data Protection and Privacy Policy

AETHLOS shall comply with all applicable requirements of the Applicable Data Protection Laws. AETHLOS’s privacy policy, found at http://aethlos-sport.com/en/privacy_policy.php, sets out what personal information we collect, how we collect it, and what we do with it.

27. Nobody else has any rights under these Terms

These Terms are between you and us. No other person shall have any rights to enforce any of its terms, except as explained in clauses 4c and 26. Neither you nor us will need to get the agreement of any other person in order to end or make any changes to these Terms.

28. If a court finds part of these Terms illegal, the rest will continue in force

Each of the clauses of these Terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.

29. Even if we delay in enforcing these Terms, we can still enforce it later

If we do not insist immediately that you do anything you are required to do under these Terms, or if we delay in taking steps against you in respect of your breaking these Terms, that will not mean that you do not have to do those things and it will not prevent us taking steps against you at a later date. For example, if you miss a payment and we do not chase you, but we continue to provide our services, we can still require you to make the payment at a later date.

30. Which laws apply to these Terms and where you may bring legal proceedings

These Terms are governed by English law and AETHLOS and you can only bring legal proceedings in respect of our services in the English courts.

31.Coach Development Booking Terms & Conditions

These Coach Development Booking Terms & Conditions are to be read in conjunction with the general Terms & Conditions outlined above. By booking a coach development session with AETHLOS Programs: 2nd Internationa Basketball Development Camp & 18+ Elite Player Development Programme, you agree to abide by both sets of Terms & Conditions.

Eligibility: Coaches, aspiring coaches, sports students, graduates, and Physical Education teachers are eligible to book to observe training sessions and laboratory testing.

Booking Confirmation: Your booking will be confirmed upon receipt of the full payment and completion of the booking form.

Payment Terms:Full payment is required.

Cancellation Policy: Cancellations made more than 30 days before the camp start date will receive a full refund minus a £50 administrative fee. Cancellations made within 30 days of the camp start date are non-refundable.

Health and Safety: All participants must disclose any medical conditions or dietary requirements. The camp staff will provide first aid and, if necessary, seek medical treatment for participants.

Safeguarding Training: Coaches and observers are encouraged to have completed safeguarding training.

Criminal Record and DBS Certificate:Coaches and observers must confirm they have a clear criminal record and a valid DBS certificate if applicable. Proof of DBS certification may be required.As safety and safeguarding are paramount for us at Aethlos, we reserve the right to refuse entrance to any attendee who fails to provide proof of the above.

Supervision: Attendees must follow the camp programme schedule and adhere to the instructions/guidance of the organisers.

Parental/Guardian Consent: Required for participants under 18.

Medical Treatment Consent: In the event of a medical emergency, camp staff are authorized to administer first aid and seek further medical treatment if needed.

Photography and Media Consent: Participants and observers consent to their images being used in promotional materials, including social media and the camp website, unless otherwise indicated.

Data Protection: Personal data will be stored and processed in accordance with GDPR and UK data protection laws.

Code of Conduct: All participants and observers must agree to abide by the camp’s code of conduct.
